This Privacy Policy explains how Zykoon Technologies Pvt Ltd ("Company", "we", "us", or "our") collects, uses, stores, shares, retains, and protects data when Customers and Users access or use IntelliCrew, including the platform, workspaces, agents, crews, smart tasks, AI features, connectors, APIs, dashboards, and related services.
This Policy applies to IntelliCrew platform plans and workspace-based subscriptions including Acquire by IntelliCrew, Diligence by IntelliCrew, Balance by IntelliCrew, and other IntelliCrew workspaces and smart tasks made available from time to time.

For most Customer workspace data, the Customer determines what data is uploaded, connected, processed, retained, exported, or deleted. In such cases, the Customer is the primary decision-maker for lawful basis, notice, consent, and internal governance, and we process the data to provide IntelliCrew services.
For account administration, billing, security, support, product analytics, and service operations, we may process certain data for our own legitimate business and legal purposes.
Acquire may process recruitment and candidate-related data such as job descriptions, role requirements, candidate resumes, contact details, employment history, education, skills, location, salary or notice information where provided, screening responses, interview notes, scoring outputs, communication drafts, recruiter notes, and pipeline status.
Diligence may process verification-related data such as identity details, document images, address information, employment details, candidate/employee consent records, check selections, verification status, vendor/API responses, quality flags, tamper indicators, name/date/address matching outputs, and verification summaries. Customers must ensure that required notices and consents are obtained before initiating checks.
Balance may process finance operations data such as invoices, receipts, bank or financial statements, vendor/customer details, tax identifiers where provided, line items, amounts, payment references, bank account information, exception flags, approval notes, and export files. Customers must validate finance outputs before payment, posting, or reporting.
AI agents and workflows may process prompts, uploaded content, extracted fields, workflow instructions, documents, candidate profiles, verification inputs, finance documents, business records, user questions, and generated outputs. We do not use Customer data to train foundation AI models.

For employee, candidate, contractor, vendor, customer, finance, and verification data uploaded or connected by the Customer, the Customer is responsible for:
AI outputs may be inaccurate, incomplete, biased, or unsuitable for a particular purpose. Customers and Users must review AI-generated outputs before using them for hiring, verification, finance, compliance, employee, vendor, customer, legal, or business decisions. IntelliCrew does not provide legal, financial, tax, employment, hiring, accounting, or verification advice.
We do not sell Customer data or personal data. We may share or process data with limited categories of service providers and sub-processors as required to operate IntelliCrew internationally, including:
These providers are permitted to process data only as needed to provide services to us or the Customer, subject to contractual, confidentiality, and security obligations where applicable.
When Customers enable connectors, IntelliCrew may access, read, write, sync, transmit, or process data from connected systems based on the permissions granted. Customers are responsible for reviewing connector scopes, ensuring lawful authority, and revoking access when no longer required.
IntelliCrew is an international business platform and may be used by Customers across multiple countries and regions. For standard shared SaaS plans, Customer data may be hosted and processed in our currently available service regions and through the limited categories of service providers and sub-processors required to deliver the service.
Where a Customer purchases a dedicated instance or enterprise deployment, the primary application environment and Customer data storage may be deployed in an available region aligned to the Customer’s selected geography, regulatory needs, and commercial agreement. Region selection, data residency commitments, backup location, disaster recovery scope, support location, and any additional controls must be confirmed in the applicable order form, enterprise agreement, workspace subscription terms, or pricing page.
Even with a regional or dedicated deployment, limited processing outside the selected region may occur where necessary for AI inference, support, security monitoring, billing, communication delivery, connector operation, analytics, troubleshooting, backup, disaster recovery, fraud prevention, legal compliance, or other service operations. We use reasonable contractual, technical, and organizational safeguards for such processing.
We do not use Customer data to train foundation AI models. Customer prompts, files, extracted fields, task outputs, reports, and workspace data are processed to provide the requested IntelliCrew services, subject to the Customer’s configuration and applicable agreement.
We retain data for as long as reasonably necessary to provide IntelliCrew, comply with legal obligations, resolve disputes, enforce agreements, maintain security, support audits, and meet Customer configuration or contractual requirements.
Customers may request deletion or export of Customer data subject to product functionality, legal retention obligations, backup cycles, security requirements, dispute preservation, and technical feasibility. Deleting data may affect workflow history, reports, auditability, and workspace functionality.
We use reasonable technical and organizational safeguards designed to protect data, including encryption in transit, access controls, role-based permissions, logging, authentication controls, operational monitoring, and internal access restrictions. No method of transmission or storage is completely secure, and Customers must maintain secure user devices, credentials, admin permissions, connector access, and internal processes.
We may use cookies and similar technologies for authentication, security, session management, preferences, analytics, performance, and service operation. We do not use Customer workspace data for advertising resale.
IntelliCrew is intended for business use and is not directed to children. Customers must not upload children’s personal data unless they have a lawful basis, required notices/consents, and written confirmation that the relevant workflow is appropriate for such data.
Depending on applicable law, individuals may have rights to access, correct, update, delete, nominate, withdraw consent, or raise grievances regarding their personal data. Because Customers usually control workspace data, requests from employees, candidates, contractors, vendors, or other individuals should generally be directed to the relevant Customer organization. We may assist Customers with such requests where technically feasible and contractually applicable.
If we become aware of a confirmed security incident affecting Customer data, we will take reasonable steps to investigate, contain, mitigate, and notify affected Customers where required by law or contract. Customers are responsible for assessing their own notification obligations to individuals, regulators, candidates, employees, vendors, customers, or other parties.
We may update this Privacy Policy to reflect product, legal, operational, security, or business changes. Updated versions may be posted on our website or communicated through email or in-product notice. Continued use of IntelliCrew after the effective date means the updated Policy applies.
