Acceptable Use Policy

This Acceptable Use Policy ("AUP") governs use of IntelliCrew, including the platform, workspaces, agents, crews, smart tasks, connectors, APIs, AI features, dashboards, and related services operated by Zykoon Technologies Pvt Ltd ("Company", "we", "us", or "our").
All Customers, administrators, employees, contractors, invited users, and other authorized users must comply with this AUP. Capitalized terms not defined here have the meaning given in the Terms & Conditions.
1. Purpose
IntelliCrew is intended to help organizations execute business operations through AI-assisted workflows. This AUP is designed to protect Customers, Users, candidates, employees, vendors, third parties, our platform, and connected systems from unlawful, unsafe, abusive, discriminatory, or unauthorized use.
2. Permitted Use
Users may use IntelliCrew only for lawful business purposes that are consistent with the Customer’s active subscription, enabled workspace, internal policies, and applicable laws. This includes authorized use of workspaces such as Acquire, Diligence, Balance, and other IntelliCrew smart tasks as configured for the Customer.
3. Prohibited Activities
Users must not:
- Use IntelliCrew for illegal, fraudulent, deceptive, harmful, exploitative, or abusive activities.
- Upload, generate, publish, transmit, or store unlawful, defamatory, discriminatory, harassing, hateful, violent, sexually exploitative, infringing, or harmful content.
- Use IntelliCrew to violate privacy, employment, labour, anti-discrimination, background verification, finance, tax, accounting, consumer protection, intellectual property, or communications laws.
- Attempt to bypass user limits, credit limits, workspace limits, connector limits, verification limits, or other plan restrictions.
- Share credentials, rotate users to avoid subscription limits, create fake users, or allow unauthorized access.
- Reverse engineer, decompile, scrape, copy, resell, sublicense, benchmark, or use IntelliCrew to build a competing product or service.
- Use bots, scripts, scraping tools, automated load tools, or unauthorized API calls except through approved product interfaces and documented APIs.
- Probe, scan, test, or attack platform security without written authorization.
- Upload malware, viruses, spyware, ransomware, malicious scripts, or code designed to disrupt systems or exfiltrate data.
- Interfere with service availability, performance, rate limits, billing controls, or security controls.
- Misrepresent identity, impersonate another person, or falsify candidate, employee, vendor, finance, or verification data.
- Use IntelliCrew to send spam, unsolicited bulk communication, unlawful outreach, deceptive messages, or communications without required consent.
- Upload data or connect systems without lawful authority, consent, or internal permission.
4. Responsible Use of AI Features
AI features must be used as assistive tools only. Users must not use IntelliCrew AI features to:
- Generate harmful, discriminatory, misleading, defamatory, unlawful, or deceptive content.
- Make fully automated decisions about employment, hiring, verification, finance approvals, disciplinary actions, or legally significant matters without appropriate human review.
- Generate instructions for cyber abuse, fraud, evasion of law, impersonation, or unauthorized access.
- Upload highly sensitive personal data unless necessary for an authorized workflow and supported by lawful basis, consent, and appropriate controls.
- Rely on AI outputs as professional legal, tax, finance, hiring, employment, accounting, background verification, or compliance advice.
Human review is mandatory before using AI outputs for operational, HR, recruitment, verification, finance, compliance, customer, vendor, or legal purposes.
5. Workspace-Specific Acceptable Use
5.1 Acquire
- Customers must use Acquire in accordance with applicable hiring, employment, equal opportunity, anti-discrimination, candidate consent, data protection, and communication laws.
- Customers must not use Acquire to discriminate against candidates based on protected characteristics or to infer sensitive personal attributes where unlawful or inappropriate.
- Candidate scoring, resume analysis, interview summaries, screening outputs, and outreach drafts must be reviewed by authorized humans before action.
- Candidate data must be collected, retained, shared, and deleted according to the Customer’s lawful recruitment process and privacy obligations.
5.2 Diligence
- Customers must obtain legally valid consent before initiating checks involving candidates, employees, contractors, documents, identity data, employment records, or background verification information.
- Customers must not use Diligence for stalking, surveillance, harassment, unlawful profiling, or checks unrelated to a legitimate business purpose.
- Verification outputs, API results, AI summaries, document quality indicators, and risk flags must be reviewed before any onboarding, employment, vendor, or contractual decision.
- Customers are responsible for ensuring that check selection and retention periods comply with applicable laws and internal policies.
5.3 Balance
- Customers must use Balance only for authorized finance, accounting, vendor, customer, expense, invoice, receipt, statement, and document operations.
- Customers must not rely on extraction or validation outputs without finance, accounting, tax, or management review where required.
- Bank account, payment, vendor, invoice, tax, and approval data must be verified before payment or posting to connected systems.
- Customers must not use Balance to facilitate fraud, false invoicing, unauthorized payments, tax evasion, or manipulation of financial records.
6. Data and Privacy Responsibilities
Customers are responsible for ensuring that data uploaded to IntelliCrew or accessed through connectors is lawful, accurate, necessary, and authorized. This includes employee data, candidate data, identity documents, background verification data, payroll or finance documents, vendor information, customer data, contracts, emails, files, and other business records.
Customers using IntelliCrew in any country must comply with the data protection, employment, hiring, verification, finance, tax, sectoral, and cross-border transfer rules applicable to their own organization, users, candidates, employees, vendors, and customers. Where a dedicated instance or regional deployment is purchased, Customers must still ensure that their use of the platform, connectors, AI workflows, exports, and user access remains lawful in the relevant jurisdictions.
7. Connector and Integration Use
Users must only connect systems they are authorized to access. Users must not intentionally trigger unauthorized actions in third-party systems, exfiltrate data, bypass third-party controls, or exceed permitted usage. Customers are responsible for reviewing connector permissions and revoking access when no longer required.
8. Security Responsibilities
- Use strong passwords and protect authentication credentials.
- Do not share accounts or allow unauthorized users to access IntelliCrew.
- Maintain appropriate admin roles, user permissions, and connector scopes.
- Promptly disable access for users who leave the organization or no longer need access.
- Report suspected security incidents, compromised accounts, or unauthorized access promptly.
9. Intellectual Property and Competitive Use
Users must not copy IntelliCrew templates, workflows, UI elements, prompts, orchestration logic, agents, documentation, product designs, or proprietary methods for resale, public redistribution, or competitive product development. Customers may use outputs generated from their own data for their internal business purposes, subject to these Terms.
10. Monitoring and Enforcement
We may monitor usage to protect IntelliCrew, enforce limits, investigate abuse, support Customers, comply with law, and maintain platform integrity. Monitoring may include usage logs, AI usage patterns, connector activity, billing events, credit consumption, IP/device metadata, security events, and anomaly detection.
If we identify or reasonably suspect a violation, we may take one or more actions:
- issue warnings or require corrective action;
- limit, throttle, or disable features, connectors, workflows, APIs, or AI usage;
- require plan correction or upgrade where limits are being bypassed;
- suspend or terminate user or Customer access;
- preserve relevant logs for investigation;
- report unlawful activity to competent authorities where required or appropriate.
Suspension or termination due to AUP violation does not entitle the Customer to refunds, credits, or compensation.
11. Updates to This AUP
We may update this AUP periodically to reflect product changes, legal requirements, abuse patterns, security needs, or operational changes. Continued use of IntelliCrew after the effective date of an updated AUP constitutes acceptance.
